RaffleX Compliance Guidelines


Introduction

RaffleX exists to support legitimate competition operators and to help build a transparent, trusted, and sustainable prize competition industry.

As the platform continues to grow, maintaining trust with customers, payment providers, regulators, and partners becomes increasingly important. For that reason, RaffleX maintains a number of preventative integrity measures designed to protect both the platform and the operators who use it.

These guidelines are not intended to police operators or create unnecessary administrative work. Instead, they exist to protect legitimate businesses from the reputational damage caused by bad actors operating in the industry.

Over time, RaffleX has removed a number of sites from the platform where activity appeared to be fraudulent or misleading. These measures ensure that operators who are acting in good faith are protected and that the integrity of the industry as a whole is maintained.

In most cases, operators will never be asked to provide documentation. However, if irregular activity is detected, RaffleX may request supporting information to ensure the fairness and transparency of competitions.

Where information is requested, the reasons will always be clearly explained.

Operators are responsible for responding to any such requests within 3 working days.


General Compliance Principles

Operators using the RaffleX platform are expected to maintain clear, accurate records relating to the operation of their competitions.

Maintaining appropriate documentation protects both the operator and the platform should any questions arise regarding the fairness or legitimacy of a competition.

Where requested, operators must be able to demonstrate that competitions are conducted fairly, prizes are awarded as advertised, and promotional mechanics are genuine.


1. Free Entry Documentation

All free entries must be properly documented and recorded.

Free entries are an important part of maintaining compliance within the competition industry. However, they must be verifiable should any questions arise.

If it appears that free entries are being added to the system without suitable documentation, this may result in the site being suspended or removed from the platform.

Examples of suitable documentation include:

  • Photographs of postal entries or letters received
  • Timestamped screenshots of social media promotions offering free entries
  • Receipts for offline purchases which award entries (including the participant's name and account email)
  • Bank transfer confirmations where entries are awarded based on transferred funds
  • Any other evidence that clearly demonstrates how the entries were legitimately obtained

Operators are responsible for retaining this documentation.


2. Competition Draw Requirements

All competition draws must be conducted in a transparent and verifiable manner.

RaffleX provides a built-in Autodraw System which generates a verifiable draw code. This code allows traceability and demonstrates exactly how the winner was determined.

For this reason:

⚠️ Autodraws conducted outside of the RaffleX Autodraw system are not permitted. There are no exceptions to this rule.

This requirement exists to protect both the operator and the platform by ensuring that every automated draw can be independently verified as fair.

If the RaffleX Autodraw facility is not used, the competition must instead be drawn manually via a live stream.

It is the operator's responsibility to ensure draws are conducted correctly.

Failure to conduct draws in a compliant manner may result in removal from the platform.


3. Site Credit Documentation

Any site credit awarded manually to customers must be documented with a clear explanation for why the credit was issued.

Please note that site credit automatically generated by the platform does not require external documentation, as these transactions are logged within the RaffleX system. This includes:

  • Instant win credits
  • Cashback rewards
  • Refunds
  • Wallet top-ups
  • Automated promotional mechanics

However, manually awarded credits must be supported with documentation.

Example:

If a promotion states that the first 5 Facebook comments receive site credit, operators should retain a screenshot showing:

  • The post
  • The qualifying comments
  • The timestamp
  • The promotional conditions

It is strongly recommended that the original Facebook post is not deleted.


4. Individual Discount Codes

Discount codes issued to specific individuals must be supported with clear records explaining how and why the code was issued.

RaffleX systems monitor discount code usage patterns. Excessive or unusual use of discount codes applied to individual accounts may be flagged for review.

Maintaining clear documentation ensures operators can easily demonstrate legitimate promotional activity if required.


5. Prize Delivery Records

Operators are advised to keep records confirming that prizes have been delivered to winners.

This helps demonstrate that competitions are genuine and prizes are being awarded as advertised.

Examples include:

  • Courier tracking numbers for shipped items
  • Delivery confirmations
  • Signed delivery receipts for higher value prizes
  • Proof of bank transfer for cash prizes

For higher value items, tracked or recorded delivery is strongly recommended.

In most cases RaffleX will never request this information, but retaining records ensures that operators are protected should verification ever be required.


Compliance Reviews

RaffleX continuously monitors platform activity for patterns that may indicate irregular or fraudulent behaviour.

If activity is flagged for review, operators may be asked to provide supporting documentation relating to specific competitions or transactions.

In such cases:

  • The request will clearly explain what information is required and why
  • Operators must respond within 3 working days
  • Failure to provide reasonable supporting information may result in suspension or removal from the platform

These measures exist solely to protect legitimate operators and maintain the reputation of the platform and the wider industry.
